Booking, Cancellation & No-Show Policy

Booking, Cancellation & No-Show Policy

Effective Date: July 22, 2026 · Last Updated: October 1, 2026

We hold appointment time exclusively for you. This Policy explains how booking, deposits, cancellations, and no-show fees work. Every fee described here is disclosed to you before you book and again before it is charged, so there are no surprises.

Every amount above is disclosed before you book and again before it is charged. The sections below are the controlling terms; this table is a summary.

About the Extended Appointment terms (new in this version). Sections 2A, 3A, and 4B add a 50% deposit and a 48-hour change window for longer bookings. These terms apply to bookings made on or after the Last Updated date above; appointments already booked before that date keep the terms you originally agreed to. Per Section 11, material changes take effect for existing clients no sooner than 30 days after posting, and the 48-hour window is never applied retroactively.

1. Booking & Confirmation

Appointments are booked online through our scheduling system, by phone, by text, or in person. You will receive a confirmation and reminders by email and/or SMS if you have opted in to those messages. Keeping your contact information current is how you make sure you receive reminders.

2. Card on File & Deposits

To secure your appointment we require a booking deposit, disclosed at the time of booking, which is applied to the cost of your service when you attend. The deposit is either the $25 standard booking deposit or, for an Extended Appointment (Section 2A), a deposit of 50% of the booked service price — never both. We may also keep a card on file. By booking, you authorize HueVine to charge that card only for (a) the disclosed deposit, (b) any disclosed cancellation, no-show, or rebooking amount under this Policy — calculated, for an Extended Appointment, using the formula in Section 4B — and (c) the balance due for services you receive. We obtain this authorization through a separate, affirmative, time-stamped step (an electronic checkbox or signed form) that identifies your card and the specific amounts (or exact calculation method) it may be charged for, regardless of how you book, and we provide you a copy. You may revoke it at any time by contacting us; revocation does not waive fees already incurred for services rendered.

2A. Extended Appointments — 50% Deposit

An Extended Appointment is any booking where the combined scheduled duration of all booked services with the assigned provider or technician is more than one (1) hour and thirty-five (35) minutes (95 minutes). Duration is measured using that provider's own configured service times and is evaluated at the moment you book, against the provider actually assigned.

  • An Extended Appointment requires a deposit of 50% of the total booked service price, charged at booking and applied in full to the cost of the services performed. It is a deposit, not a fee, and it replaces the standard $25 deposit for that appointment — the two are never charged together.
  • The deposit is fully refundable — returned to your original payment method, or moved to a rescheduled appointment at your choice — when you cancel or modify more than 48 hours before the start time. It becomes non-refundable 48 hours before the start time (see Section 3A).
  • Deposit-flagged services. Certain individual services may require a deposit and the 48-hour window even if your total time is under 95 minutes. Where that applies, it is disclosed on the service listing before you select it — never revealed at checkout.
  • Disclosure at booking. Because two clients booking the same services can land on different sides of 95 minutes depending on which provider they book, the booking screen shows your total booked time and, where it applies, the line: "This booking is over 1 hr 35 min and requires a 50% deposit and 48 hours' notice to change."
  • We don't charge a second or larger deposit if we move you. If HueVine reassigns you to a different provider and that pushes you over the 95-minute threshold, no new or additional deposit is charged. If a reassignment moves you below the threshold, your deposit stays applied to your services and any excess is refunded.

3. Cancellation & Rescheduling Window (Standard Appointments)

  • The standard notice window is 24 hours. Please cancel or reschedule at least 24 hours before your appointment, by phone, text, or online. (Extended Appointments carry a longer 48-hour window — see Sections 2A and 3A.)
  • Same-day cancellations or reschedules (less than 24 hours' notice) are charged a fee of 50% of the service price, disclosed at booking. This fee scales with the provider time reserved for you.
  • Cancellations made at least 24 hours in advance incur no fee, and any deposit is refunded or applied to a future visit.

3A. The 48-Hour Modification Window (Extended Appointments)

Extended Appointments carry a 48-hour change window instead of the standard 24-hour window, because the reserved block is larger and cannot be refilled on short notice.

  • More than 48 hours before your appointment: cancel, reschedule, or add/remove services freely, with no fee; your deposit is refunded or moved at your choice.
  • Within 48 hours: your booked service list is final and the deposit is non-refundable, except as refunded under the Section 4B calculation — we refund any amount of your deposit that exceeds what you actually owe.
  • Your specific window — 24 hours or 48 hours — is stated in your booking confirmation for that appointment, so you always know which one applies to you.

4. No-Shows & Repeat Occurrences

  • No-show (you do not arrive and do not cancel): charged 50% of the service price, disclosed at booking.
  • Repeat occurrences. A client with three (3) or more no-shows or same-day cancellations in a rolling 12-month period may be asked to prepay a booking deposit (up to 50% of the service price) to reserve future appointments. This prepayment is applied in full to the cost of the service performed and is refundable under Section 3 — it is a deposit, not a retained penalty. Only your own no-shows and same-day cancellations count toward this total — an appointment that HueVine cancels or reschedules never counts against you (see Section 7A).
  • Excessive no-shows may require full prepayment to book future appointments. Any such prepayment is applied to your service and remains subject to the cancellation terms above and to refund of unused value as required by law (see Returns, Refunds & Exchange Policy).
  • Fees reflect reserved time, not a penalty. A same-day or no-show fee is a good-faith estimate of the provider time and any non-refundable materials reserved for you. The 50% figure is set as a reasonable pre-estimate of that reserved time and those materials — it is not a penalty, and where we are able to fill your appointment time with another client, we will waive or refund the fee at our reasonable discretion.
  • Programs. If you booked using a Program, a same-day cancellation or no-show may debit one session in place of the 50% fee; we disclose which applies at booking. A session is debited only to the extent it reflects the reserved time actually lost — if we refill the slot, the session is restored — and we may also restore the session in the case of a documented emergency at our reasonable discretion.
  • Good faith. Fees under this Section are applied at our reasonable discretion, and we may waive them for documented emergencies (see Section 10).

4A. Classes & Workshops (Separate Rules)

Reservations for classes, workshops, and events follow their own timing, which is different from one-on-one appointments. These rules are disclosed at the time you reserve.

  • Refund window. Cancel at least 7 days before the class date to receive a refund. Cancellations within 7 days of the class, and no-shows, are non-refundable, except where a refund is required by applicable law or where we cancel the class (below). Where a refund is not available, we will, at our discretion, offer a class credit in the amount paid.
  • Rescheduling. You may reschedule once at no charge if you request it at least 7 days before the original class date and space is available in another session. Ongoing/recurring classes are eligible; one-time or special offerings are not, as disclosed at purchase.
  • Late reschedule. If you reschedule within 7 days of the class, we will apply what you paid as a credit toward another session of the same or a comparable class within 12 months, subject to availability; if the new session costs more, you pay only the difference. We do not require you to forfeit your payment and pay again for the same seat.
  • Sales made at live events or off-site locations. If you purchase a class or Program at a live event, pop-up, or any location that is not our regular business address, you may cancel for a full refund until midnight of the third business day after the sale. We will give you a written Notice of Cancellation and a dated cancellation form at the time of purchase, as required by the FTC Cooling-Off Rule (16 C.F.R. Part 429) and Michigan's Home Solicitation Sales Act (MCL 445.111 et seq.). This right cannot be waived and overrides the 7-day and no-refund terms above.
  • Transfers. With our prior approval, you may transfer your reservation to another guest for a 10% processing fee.
  • If we cancel, reschedule, or under-enroll. If we cancel a class, materially change its date/time, or it does not meet minimum enrollment, you receive a full refund or a class credit — your choice.
  • Timely notice. Send cancellation, reschedule, or transfer requests as early as possible by phone, text, or online so we can offer your spot to someone else.
  • Online courses (HueVine University). Online educational courses are additionally governed by the HueVine University Course Terms, including their digital-content refund rule (refundable before you access the materials, or within 7 days if not substantially accessed). Live/cohort sessions follow the class rules in this Section.
  • Participation terms. Any class involving a medical or hands-on treatment demonstration is subject to the Medical Disclaimer and, where a licensed service is provided, HueVine PLLC's informed-consent process. (HueVine University is online educational content only, so no in-person participation waiver applies.)

4B. What You're Charged for a Late Change, No-Show, or Service Removed at Arrival (Extended Appointments)

If you cancel an Extended Appointment within 48 hours, don't arrive, or remove services after you arrive, the amount owed is:

(100% of the price of the services you actually receive) + (50% of the price of the services you booked but do not receive), minus the deposit you already paid.

  • If your deposit covers that amount, nothing further is charged.
  • If the amount exceeds your deposit, the difference is charged to your card on file after we notify you and hold the charge for your review (Section 9).
  • If your deposit exceeds that amount, the difference is refunded to your original payment method within 10 business days.

Your deposit is applied to what you owe — never added on top of it. You are never charged a forfeited deposit and a separate fee for the same reserved time.

You are never charged for a removed service when: (a) a HueVine PLLC provider or licensed technician declines or modifies it on clinical or safety grounds (contraindication, skin condition, medication history, pregnancy, or professional judgment); (b) HueVine cannot perform it as booked (staffing, equipment, product, running late, or our booking error); (c) a documented emergency applies, at our reasonable discretion; or (d) a refund or waiver is required by law. In cases (a) and (b) you pay only for the services performed, and the balance of your deposit is refunded or held as you elect.

5. Late Arrivals

If you arrive late, we may need to shorten or reschedule your service so we can stay on time for other clients. A shortened service is charged at the full price, and a reschedule may be treated as a late cancellation under Section 3 (or Section 3A for an Extended Appointment).

6. Fees Are Disclosed, Not Hidden

We do not charge any cancellation, no-show, or late fee that was not clearly disclosed to you before you booked. This is intentional: undisclosed or surprise fees are unfair and deceptive under the FTC Act § 5, 15 U.S.C. § 45(a), and state consumer-protection laws, and we do not use them.

7. When We Cancel or Reschedule

If we must cancel or reschedule (for example, provider illness), we will offer you the next available time or a full refund of any deposit. We are not liable beyond refunding amounts you paid for the affected appointment.

7A. If We Have to Reschedule You (Emergency Changes) — Your Rights

Sometimes we must change or cancel appointments on short notice — a provider's illness, a facility or equipment issue, weather, or a full closure. When HueVine initiates the change, you are protected:

  • We contact you with real, named options — specific providers and times, or the next available slots matched to your stored preferences — not just "call us to reschedule."
  • There is no cancellation or no-show fee, your deposit is preserved and moves with you, and the change does not count toward the 3-strike record in Section 4.
  • We offer a concession for the inconvenience (for example, a complimentary add-on, or a discount on the affected service), scaled to how much the change disrupted your visit.
  • Emergency-change and rescheduling messages are about your existing appointment (not marketing); you receive them even if you have opted out of marketing, and they never contain promotional content.
  • Only a Manager or Owner may initiate an emergency reschedule, and every event is logged.

8. Medical Appropriateness

All medical and injectable appointments are subject to a clinical assessment by a HueVine PLLC provider. A provider may decline or modify treatment if it is not medically appropriate for you. If treatment is declined for medical-safety reasons, any deposit for the declined service is refunded or credited; results of any treatment are never guaranteed (see Medical Disclaimer).

9. Automated Reminders & Assistance

We may use automated tools, including our assistant "Sasha," to send reminders, confirm times, and answer scheduling questions. Before any fee identified by our automated assistant is charged to your card, we send you notice and hold the charge so you can respond, and no automated fee is charged without the opportunity for human review. If a fee is charged in error, we reverse it promptly at no cost to you, and you can always reach a person to resolve a booking issue.

10. Emergencies & Good Faith

We understand emergencies happen. If you miss or late-cancel due to a documented emergency, contact us — we may waive or credit a fee at our reasonable discretion. We apply this Policy in good faith.

11. Changes, Governing Law & Severability

We may update this Policy; material changes take effect no sooner than 30 days after posting, with the effective date above, and are not retroactive. This Policy is governed by Michigan law, except where your state of residence grants greater non-waivable rights. If any provision is unenforceable, the rest remain in effect.
